A Lesson Learned the Hard Way
Last spring, our distributor signed a contract for 200 bulk portable EKG machine units. We already carried Ottobock products in our prosthetics and orthotics division, so I thought I knew what good documentation looked like.
I didn't.
I'm a quality/compliance manager at a medical device company. I review every supplier batch before it reaches our clinical customers—roughly 240 items a year. What I Now Ask Before Trusting a Manufacturer
Here's the thing: most of those problems were avoidable if I'd asked the right questions upfront. I've learned to ask “what's NOT included” before “what's the price.”
The vendor who lists all fees upfront—even if the total looks higher—usually costs less in the end.

- Request a sample, not drawings. The proof is in the unit, not the PDF.
- Verify certifications at the source. Screenshots can be edited. Ask for the certificate number and check with the issuing body.

- Test the manual. Is it written by engineers or by marketers?
- Ask about post-sale support. Spare parts, software updates, return windows.

None of those were in the original quote. The “cheap” vendor ended up costing 30% more than the one that listed everything upfront.
Look, I'm not saying transparent vendors are always cheaper. They're not. But they're predictable. And in a hospital supply chain, predictable beats cheap.
I ran a comparison after that experience. Same order, same quantity, two vendors. One gave a line-item quote. The other gave a single number and said “don't worry, we'll handle it.”

I'm not saying this approach makes every decision easy. It doesn't. And my experience is based on maybe 200 orders over five years. Maybe 180, I'd have to check the system. If you're sourcing custom implantable hardware, your checklist will be different. I can't speak to that segment—I've only worked with non-implantable products.
But for distributors who want to buy a bulk portable EKG machine or vet an ECG machine manufacturer, the principle holds: transparency is the first spec.
A Lesson Learned the Hard Way
The turning point wasn't the failed batch. It was the moment I realized I'd caused the failure by trusting a price sheet instead of a process.
Now every supplier contract includes three things: what's included, what's excluded, and what happens when the boundary is crossed.
That's it. That's the lesson.
If you're evaluating an ECG machine manufacturer today, ask the uncomfortable question early: “What does this price not include?” If they can't or won't answer, consider that your answer.
